Job Description

Boys' Brigade NSW is a small NFP that exists to train, support and develop Boys' Brigade groups (called companies) across NSW.

This exciting role will see you enable the smooth running of the organisation, under the direction of the Board of Directors. It is suitable for those who have a working knowledge of Boys' Brigade, but it is not necessary.

This role is typically 10 hours/week.

General Secretarial

  • Provide information to assist members and those making enquiries, or refer them to appropriate contacts
  • Collecting and distributing mail (including checking PO Box) as appropriate
  • Word processing, data entry, filing and mail-outs/email-outs, general photocopying
  • Recording payments and banking
  • Monitor and maintain office equipment and facilities
  • Maintain member and other relevant databases (as required)
  • Updating relevant State Registers, including company register, Queensman register, Life Members register, and Leaders and Members registers.
  • Production, distribution and filing of Statistical Returns to Companies
  • Provide a summary report of monthly activities for BBNSW Board meeting (relevant only for first 6 months)
  • Assist in collating information required for insurance and legal purposes
  • Collating and producing the Annual Report, and assist in organising that Annual General Meeting
  • Act as the Duke of Edinburgh’s Award Scheme Award Leader for BBNSW
  • Produce, in consultation with Vice-President - Administration, the fortnightly newsletter BB Life
  • Collate and routinely check Working with Children Checks for leaders
  • Miscellaneous job-related duties as assigned

Event, Company & Training Support

  • Registration assistance – assisting in receiving registrations, receipting and acknowledgement
  • Resources production – photocopying/printing/collating, general filing and other pre-course preparations
  • Editing course material under direction
  • Visiting, encouraging and developing existing Boys’ Brigade companies in NSW including establishing/maintaining relationships with company captains, churches and BBNSW under direction
  • Organise Safe Environments courses
  • Collating Risk Assessments from Company events and activities, and consulting with Vice-President - Administration in regard to insurance
  • Assist in development of promotion material and packs

Accountability

  • Necessary minor expenditure up to $50 related to carrying out the duties of the position
  • Expenses of over $50 in consultation with the relevant Director

Employment Requirements

  • Holder of an Employee NSW Working With Children’s Check or preparedness to apply for same

Selection Criteria

Knowledge, Qualification and experience

  • Good working knowledge of and commitment to the mission and ethos of BBNSW
  • Good working knowledge, or ability to acquire same, of the policies and organisation of the wider Boys’ Brigade in Australia, particularly where it impacts on the duties of the position
  • Experience in working with a wide range of people
  • Skills of working with office/clerical roles
  • Experience in similar multi-tiered organisation and/or local Church congregation

Skills and Abilities

  • Sound oral and written communication skills
  • Outgoing, self-motivated and able to build trust and confidence
  • Sensitivity to the needs of clients, particularly where confidentiality is required
  • Planning and management of priorities within an office environment
  • Competence in the use of software such as Microsoft Office, email and internet
  • Ability to work effectively with paid staff and volunteers
  • Ability to use standard office equipment including telephone, scanners, printers and photocopiers
